A complex mining operation managed safety-critical content — lockout/tagout procedures, where incorrect information can cost a technician their life — without a centralized standard. A single lockout/tagout request sent a team of twelve to fifteen people searching, filing, and researching for seven to ten weeks. SureSoft created the centralized standard, and the same request became a 30-second query — one benefit among many the operation gained from the same content foundation.

Public Sector — Regulatory Operations

A 10-to-12-month qualification process, delivered in three weeks

A government department responsible for validating and qualifying insurance companies ran a process that consumed 10 to 12 months end to end. SureSoft rebuilt it on an Enterprise Content Management foundation. The same qualifications now complete in three weeks — with deeper investigations than the original process supported, improved service to the companies moving through it, and capabilities the department did not have before.

Global Research Organization

Six weeks to get reimbursed — cut to two or three days

A worldwide research organization sent its scientists into the field — travel, equipment rentals, and every expense charged to a company credit card each scientist was personally responsible for paying. Receipts were submitted after the trip, and approval took 45 to 60 days to move through HR and the approval chain. Scientists were floating their own money against the organization's timeline, and some began weighing whether to leave. SureSoft built a centralized capture and approval workflow: scientists submitted receipts from the road as expenses occurred, and approvals returned in two to three business days. The regional office that had four people working approvals full time needed one, about twenty hours a week. The same system, processes, and workflows then rolled out — at a fraction of the original cost — to Europe, the Middle East, Australia, and Asia. The project recovered its cost within six months of implementation — through reduced staffing, automated validations, lower infrastructure, and interest payments avoided — and multiplied across the regions, a core processing cost fell to less than ten percent of what it had been. Ease of reimbursement became a recruiting advantage for attracting top scientists.
